McCool Carlson Green, an architectural design firm, is seeking interested people to hire for a full time administrative assistant position. The administrative assistance will perform a wide range of administrative and office support activities for the company. Prior experience working in an architectural or engineering firm in this job capacity is recommended. Key areas include:

 You are the First Impression for the Firm

  • Receive and direct visitors and clients

Assist the Design Staff

  • Assist the principals and design staff in their daily functions
  • Assist with construction administration:
    • Log all submittals, Requests for Information and Information Bulletins into the appropriate database, coordinate the documents and send them on to the appropriate consultant for approval.
    • Prepare daily, weekly, monthly reports
    • Maintain office files
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • Assist in editing technical specifications and keeping the Master Specs up to date

Information Assistance

  • Bookkeeping experience is desirable
  • Maintain all administrative databases:
    1. Dead-files
    2. Mailing lists
  • Maintain office files
    1. CSI (Construction Specification Institute)
    2. Product library
    3. Dead files
  • Retrieve documents from filing system
  • Handle requests for information and data

Office Assistance

  • Maintain general office and staff information
  • Keep inventory of and order supplies
  • Maintain various office calendars
  • Schedule, prepare for office meetings
  • General clerical duties
  • Open, sort and distribute incoming correspondence
  • Coordinate maintenance of office equipment
